Özet: The Volunteers’ Portal is a project developed for the Portuguese Red Cross volunteers of Coimbra. The portal is a web-based information system developed to support the institution’s volunteers and relief work management. These activities are presently recorded on paper, which generates a huge, complex and repetitive task for the volunteers’ manager (also a volunteer). The proposed system allows each volunteer to submit his availability online, thus facilitating the volunteer’s manager work, to assign volunteers to shifts. The new system allows the replacement of volunteers on the fly. For example, each time a volunteer’s availability changes, a notification is sent to all other volunteers in order to find an available volunteer that can replace or switch shifts with him. In regards to the management of the relief events (occurrences), the new system allows logging the occurrence details, including the expenditure of medical supplies used on the field by the volunteers. To register the medical supplies used, an iPad application was developed to enter and send the data to the portal. The portal generates reports and graphs of transactions on a daily basis to assist the institution’s management. The Volunteers’ Portal, not only contributes to the systematization of the management of volunteers and rescue events, but also contributes to the dematerialization of the huge amount of documents and the consequent saving of paper.
