Mapping projects to workflows using YAWL

Özet: In order to develop a product or a service it is necessary to create a project to manage the sequence of tasks, costs and resources. A project is developed in order to reach an objective using different types of resources (people, software, hardware, equipment). Projects are divided into activities called tasks that have a deadline and use resources in order to be completed. Sometimes there would be necessary more information for developing a project or some constraints in order to do a task or not. Moreover when developing a project also should be created a risk management plan. Many projects fail because of the unidentified risks or because of errors regarding the management of the resources, time or costs. In order to solve this issue we propose an application that would allow the mapping between projects and workflows that helps identifying if the sequence of tasks is correct, if some constraints have to be used and possible risks.Transforming a project in a workflow adds some advantages to the entire process by inserting new information into the flow, by adding constraints regarding resources and deadlines or by adding the possibility to make decisions if a task should be started or not according to some parameters.We use Lucene for searching the text in order to identify best practices from the existing workflows. The best practices files identify tasks that are going to be useful in other projects. Using Lucene the application scans through each YAWL workflow saved in the database and identifies matching elements from two or more workflows. The matching elements that are taken into consideration are the name of the tasks, the description of the task and of the workflow, the used documents and other resources. Based on these elements the application identifies best practices - tasks that could be used in other workflows.This solution is going to provide the ability to transform a project into workflow in order to gain some advantages like the ability to manage the order and the synchronization of tasks, inserting some conditions for tasks and resources, and identifying best practice tasks that could be used in other projects.
